Case Study

Challenge:

The agency encountered significant inefficiencies in their payroll and billing processes, which hindered productivity and accuracy:

  1. Fragmented Tracking System:

    • Payroll relied on multiple spreadsheets, leading to errors and inconsistencies.
    • Data duplication and omissions occurred due to API limits in existing automated workflows.
  2. Manual Processes:

    • Billing and payroll processes were largely manual, requiring extensive time to count entries, verify dates, and calculate charges and payments.
  3. Payment Calculations:

    • Employees were paid based on a percentage of completed transfers, but tracking this manually often resulted in errors and delays.
  4. Lack of Reporting and Visibility:

    • The system lacked centralized reporting, making it difficult to track the number of transfers, revenue, and employee payments in real time.

Solution:

To address these challenges, the following solutions were implemented, leveraging ClickUp as the core platform:

1. Centralized Database in ClickUp

  • Automation: Integrated Cognito Forms to automatically add transfer submissions to ClickUp, categorized into specific lists based on the type of transfer.
  • Detailed Fields: Each entry included key details such as:
    • Transfer type
    • Amount charged to the client
    • Percentage to be paid to the employee
    • Transfer date

2. Improved Tracking and Automation

  • Retained the existing spreadsheet automation for backup purposes.
  • Introduced ClickUp automation to ensure consistent data entry, reducing reliance on spreadsheets for manual verification.
  • ClickUp became the single source of truth for all payroll and billing data.

3. Simplified Billing Process

  • Added checkboxes in ClickUp for marking entries as "Charged" and "Paid," ensuring accurate tracking of both client charges and employee payments.
  • Automated the tracking of weekly transfer totals, streamlining the billing process.

4. Centralized Dashboards

  • Developed ClickUp dashboards providing insights into:
    • Total transfers completed each week
    • Revenue generated per transfer
    • Payments owed to employees
  • Dashboards allowed filtering by transfer date, providing real-time visibility into billing and payroll metrics.

Results:

The implementation of this solution delivered measurable improvements:

  1. 100% Reduction in Manual Effort:

    • Automated data entry, tracking, and calculations eliminated manual counting and verification, saving significant time each week.
  2. Improved Accuracy:

    • Centralized data in ClickUp minimized errors caused by API limitations and spreadsheet discrepancies.
  3. Streamlined Billing and Payroll:

    • The checkbox system ensured accurate and efficient tracking of charges and payments, simplifying processes for the payroll manager.
  4. Enhanced Reporting:

    • ClickUp dashboards provided real-time insights into transfers, revenue, and employee payments, enabling data-driven decision-making.
  5. Significant Time Savings:

    • The payroll manager no longer spent hours manually verifying data, allowing them to focus on higher-value tasks.
